    Import from Files or share one supported document to BillTuck, then review any fields that need attention.

    Open the invoice month and provider, confirm the completed record, and view the original from the bill.

  4. Export when ready

    Resolve duplicates and unfinished imports before generating the PDF for your chosen month.

Start with the bill document

An email subject is rarely enough to identify a bill a few months later. Save the attachment that shows the provider, invoice date, invoice number when present, total, and currency. A PDF usually preserves all its pages in one file. If the bill is already a JPEG or PNG, you can keep that original image instead.

Make one place in Files for documents waiting to be organized. A name such as Bills to review is sufficient. You do not need a folder for every supplier before starting. Importing a file into BillTuck keeps its original available with the bill record.

Use the invoice date to organize bills by month

A bill dated 31 August can arrive in your inbox on 2 September. Record the date printed on the invoice so the bill appears in the intended month. Choosing the day you downloaded it would make later comparisons harder, especially when you collect older documents in a single session.

BillTuck groups completed expenses by invoice date. Open a year and then a month to look through its bills. Check the currency beside each total while you browse. A month containing CHF and EUR bills has a separate amount for each currency.

Review the details before relying on totals

Automatic extraction can read the provider, date, invoice number, amount, and currency from an imported document. Treat those fields as details to check against the original. Invoice layouts vary, and a document can contain several dates or amounts with different meanings.

Open a bill that needs attention, use View Original, and complete or correct the fields in Review & Complete. A missing invoice number is different from an unknown amount: record the information the document actually provides. Unfinished imports remain saved, but only completed expenses enter BillTuck's totals and reports.

Keep provider names consistent

Suppose the same supplier appears as Alpine Mobile on one bill and Alpine Mobile AG on another. Confirm which provider the document belongs to when reviewing it. A consistent provider assignment makes the supplier's bills easier to browse together without changing what the original document says.

Provider browsing gives you a second route into the archive when you remember who issued a bill but cannot remember its month. From there, open the record and its original. This is also a useful place to notice an unexpected extra bill or a document assigned to the wrong supplier.

Finish a small batch before starting another

Start with a few recent documents and follow them all the way through review. That lets you check how the dates and provider groups look before bringing in an older archive. The current preview includes three free document imports, so check the available import access in the app before preparing a larger batch.

When a file is flagged as a possible duplicate, compare it with the existing record before keeping both. Once the month is ready, use the monthly expense report guide to create a PDF. You can then revisit the same monthly view as more bills arrive.

Should I organize a bill by the email date or invoice date?

Use the invoice date printed on the document for the BillTuck record. The app uses that date when grouping completed bills into months and selecting bills for a report.

Do I have to rename every bill before importing it?

No. BillTuck organizes completed records through their bill details and keeps the original document available. A recognizable filename can still help when finding the source in Files before import.
